Adding Your Appointment to Your Calendar

Your confirmation email does the hard work for you.

  1. Open the email confirming your appointment. Reminder emails carry the same calendar file, so either one will do
  2. Select the calendar attachment, a file named appointment-….ics
  3. Choose the calendar you use: Apple Calendar, Google Calendar, or Outlook
  4. Confirm, and the appointment is saved to your calendar with the date, time, and joining details

Tip

Where your consultation happens over video, the calendar entry carries the joining link, so you can start it straight from your calendar when the time comes. For an in-person appointment it carries the address instead.

Using the Calendar File

What the .ics file is and how to open it.

The calendar file is a small standard file that works with almost every calendar app. On a phone, tapping it usually opens your default calendar ready to save. On a computer, opening it adds the event to the calendar app you have set up.

  • You only need to add the appointment once
  • The event shows the same details as your confirmation email
  • If you use more than one calendar, choose the one you check most often

Reminders

How you will be reminded about your appointment.

  • The calendar entry already carries an alert set for one hour before the appointment
  • You can add your own reminders to the event on top of that
  • You may also receive reminder emails, and sometimes SMS, before your appointment

Timezones and Changes

Keeping your calendar accurate.

  • Appointment times are shown in your local timezone
  • If you reschedule or cancel using the management link in your email, update the entry in your calendar to match
  • If you added the appointment on more than one device, remember to update each one

Made a change?

Nothing changes in your personal calendar on its own. After a reschedule you will get a fresh email carrying an updated calendar file; open its attachment and most calendar apps update the entry you already saved rather than adding a second one. After a cancellation, delete the entry yourself.
