What the Emails Page Is For
Client Email, Kept With the Rest of Your Work
Emails is the workspace where professional accounts write, schedule and send email to their clients from inside the platform, rather than from a separate mail client with no link back to the matter. Every email you have created is listed here with what became of it.
What the List Shows
- The subject line
- How many recipients the email went to
- When it was sent, or when it was created if it has not been sent
- Its current status
- Controls to open the email in full, or to delete it
Finding an Email
Search by text, narrow the list to a single status from the dropdown, and move through longer histories with the pager beneath the list. Compose Email, Templates and the settings control sit in the header.
Emails Are Not Conversations
Email leaves the platform and lands in someone’s inbox. Conversations stay inside the platform, where both participants have the thread and its history. Use email for things a client needs in their own mailbox, and Conversations for exchanges that belong to the matter.
What Each Status Means
- Draft is written but not scheduled and not sent.
- Scheduled is set to go out at a time you chose.
- Queued has reached its send time and is about to start going out.
- Sending is in the middle of going out to its recipients.
- Sent reached every recipient it was addressed to.
- Partially sent reached some recipients but not all of them.
- Failed did not go out.
- Cancelled was stopped before it was sent.
Partially Sent Needs a Look
A partially sent email means some of your recipients have it and some do not. Open the email to see which addresses were affected before you resend, so nobody receives the same message twice.
Who Can Use Emails
Included With Email Access on Your Plan
Emails is part of the professional toolset and needs email access on your plan. Without it the page still opens, but instead of a list you see what the feature includes and how to add it. Branded templates, scheduling, delivery tracking and custom signatures all sit behind the same entitlement.
Only Your Own Emails
The list is scoped to the profile you are currently working in. If you hold more than one professional profile, switch profile to see the emails belonging to the other one.
Deleting an Email
The delete control removes an email from your list, and asks you to confirm first. It removes your record of the message. It does not reach into a recipient’s mailbox and take back an email that has already been delivered, because no email system can do that.
Check Before You Schedule
A scheduled email goes out at the time you chose. Deleting the record of an email that is already on its way does not stop it arriving, so check the recipients and the content before you schedule it.
Frequently Asked Questions
Why can I not see the Emails page in my menu?
Emails appears in the Communications section for professional accounts. If you are using the site to plan your own affairs, it is not part of your menu. A charity team does not get it either: you reply to a supporter inside their enquiry, and we email them to say the charity has replied.
Does a client have to be on the platform to receive one?
No. An email goes to an ordinary email address, which is exactly why it suits things a client needs to keep outside the platform.
What happens if a client unsubscribes?
Email preferences are held per client and are honoured when an email is sent. That is separate from blocking a client, which stops them approaching you but is not an email control.
Can I see whether a client opened my email?
The status on each email tells you what happened when it was sent. Open the email itself for the detail behind that status.
