Charity Team

Your team page is where colleagues are invited into the charity workspace and where what each of them can do is decided.

Who Can Manage the Team

Managing the team is reserved for owners and administrators. Everyone who is an active member of the charity can open the page and see who else is on it, which is deliberate: knowing who has access is not the same as being able to change it.

  • Owner or administrator: can invite, change a colleague's role, remove a seat, and resend or revoke a pending invitation
  • Editor or viewer: can see the roster and the invitations, with no controls offered

The list is not the lock

Our servers decide what each role may do. Hiding a button is a courtesy so nobody clicks something that will be refused; the refusal itself happens on our side, whatever the page shows.

Inviting a Colleague

An invitation needs two things: the colleague's email address and the role you want them to have. You can add a short personal message, which is included in the invitation email so the recipient knows who is asking and why.

What Happens Next

  • The invitation appears in the Invitations list as pending until the colleague accepts it
  • Once accepted it becomes accepted and the colleague appears in the Team members list
  • An invitation that is left too long becomes expired, and one you withdraw becomes revoked

Resending and Revoking

While an invitation is still open you can resend it, which is the usual answer to an email that went to a spam folder, or revoke it. Revoking asks you to confirm, and the existing link stops working from that point, so a colleague who has already left cannot join on an old email.

Invite the person, not the shared mailbox

Each seat belongs to one named colleague, which is what makes the record of who changed what meaningful. Inviting a shared info@ mailbox means nobody in particular is accountable for what is published under your charity's name.

Changing a Role

Each colleague's row carries a role selector. Changing it takes effect immediately, and the roles offered are the ones we define rather than a list held in the page, so they stay in step across the platform.

The owner’s row is different

An owner's row shows their role as a badge rather than a selector, and carries no removal control. This is what stops a charity workspace being left with nobody able to administer it.

Removing a Colleague

Removing a colleague asks you to confirm, then takes away their access to the charity workspace. It does not delete their personal account with us, and it does not remove work they did on your charity's behalf, such as an update they wrote.

  • A colleague who has left your charity should be removed rather than downgraded to viewer
  • A colleague whose job has changed is usually a role change, not a removal
  • To bring someone back, invite them again
